Summary
The Part-Time Temporary Public Health Administrative Support staff member will assist the Health Program Manager and planning team with administrative, coordination, and communication tasks related to the development and execution of HSEEP-compliant preparedness exercises. This role supports both internal and external partners, ensures accurate documentation, and helps maintain smooth logistical operations for meetings, planning sessions, and exercises.
Key Responsibilities
· Provide administrative support for internal and external planning meetings related to HSEEP exercises.
· Schedule, organize, and coordinate meetings; distribute calendar invites; and confirm attendance.
· Track meeting participants, attendance, and assigned tasks or action items.
· Take clear, accurate meeting notes and distribute finalized notes to participants in a timely manner.
· Maintain communication with internal staff, external partners, and stakeholders regarding planning activities and deadlines.
· Assist with developing and typing HSEEP documents using provided templates, including agendas, situation manuals, exercise plans, sign-in sheets, and after-action support materials.
· Attend planning meetings and exercises to support documentation, logistics, and coordination needs.
· Coordinate administrative tasks for exercises, including sign-in/sign-out processes, seating assignments, name badges, food coordination (if applicable), and material/supply distribution.
· Maintain organized records of planning documents, participant information, and exercise materials.
· Support the Health Program Manager and planning team with other administrative and coordinated tasks as needed.

Qualifications Required:
· High school diploma or equivalent.
· Strong organizational skills and attention to detail.
· Ability to take clear, professional meeting notes.
· Proficiency with Microsoft Office (Word, Excel, Outlook) and basic data tracking.
· Strong written and verbal communication skills.
· Ability to work independently, manage time effectively, and meet deadlines.
· Comfortable communicating with internal staff and external partners.
· Ability to maintain confidentiality and handle sensitive information appropriately.
Preferred:
· Experience working in public health, emergency management, healthcare, or government settings.
· Familiarity with the Homeland Security Exercise and Evaluation Program (HSEEP) or willingness to learn.
· Experience supporting planning teams, coordinating meetings, or handling logistics for events or projects.
